Terms & Conditions

These Terms & Conditions (“Terms”) govern all bookings made for Sanctum 7 retreats held at Earnscleugh Castle, Central Otago, New Zealand (“Sanctum 7,” “we,” “us,” or “our”). By submitting a booking, whether for yourself, on behalf of another guest, or through an online travel agency or booking platform (“OTA”), you (“you,” “the guest”) agree to be bound by these Terms in full.

Sanctum 7 is operated by Sanctum 7 Wellness Retreats Limited, trading as Sanctum 7, of 27 Gillies Ave, Gillies Ave Office Park, Newmarket, Auckland, 1023.

1. Bookings & Payment

  • Sanctum 7 is an adults-only retreat. All guests must be 18 years of age or older at the time of arrival. We reserve the right to decline a booking, or refuse entry on arrival, where this requirement is not met.

  • A booking is only confirmed once a non-refundable deposit of 20% of the total retreat cost has been received, along with a completed pre-arrival guest questionnaire.

  • When booking, you must disclose any pre-existing medical conditions, injuries, allergies, medications, or mental health considerations that may be relevant to your safe participation in the retreat. This initial disclosure will be followed up in more detail via the pre-arrival questionnaire referred to in Section 6.

  • All guests must hold valid travel insurance covering, at minimum, trip cancellation, curtailment, and overseas medical treatment, for the full duration of their stay. By completing your pre-arrival questionnaire, you confirm you hold such cover.

  • If you book through an OTA, your deposit, payment schedule, and cancellation terms may be governed by that OTA's own terms and conditions rather than Sections 1 and 2 of this document. Please refer to your OTA's terms for details specific to your booking. All other Terms in this document, including health disclosure, age requirements, and guest conduct, apply regardless of booking channel.

  • The remaining 80% balance is due no later than 45 days before your retreat start date. We will send a reminder in advance of this date.

  • For bookings made within 45 days of the retreat start date, full payment is required at the time of booking to confirm your place.

  • All prices are quoted and payable in New Zealand dollars (NZD) and are per person, based on the room category selected, unless stated otherwise. Sanctum 7 is not responsible for currency conversion rates, foreign transaction fees, or other charges applied by a guest's bank or card provider. Guests paying from outside New Zealand should confirm any such costs with their bank before booking.

  • If full payment is not received by the balance due date, we reserve the right to treat the booking as cancelled by you, and the cancellation terms in Section 2 will apply.

  • Accepted payment methods and any transaction surcharges will be confirmed at the time of booking.

2. Cancellations & Refunds - By You

Because each retreat is a small, exclusive-use experience across 9 guest suites and rooms, a single cancellation has a meaningful impact on our ability to fill your place. Our cancellation policy reflects this.

  • Your deposit (20%) is non-refundable from the date of booking, in all circumstances, including illness or personal emergency. Your deposit may be transferred once to an alternative retreat date in accordance with the date change terms below.

  • Cancellations made 45 days or more before your retreat start date: the deposit is forfeited; no further charge applies, and any balance paid in excess of the deposit will be refunded.

  • Cancellations made less than 45 days before your retreat start date: no refund will be given, and the full retreat cost remains payable.

  • No-shows and early departures: if you fail to arrive, arrive late, or leave before the retreat concludes for any reason, no refund or credit will be given for unused nights, meals, treatments, or programme inclusions.

  • Sanctum 7 is priced as an all-inclusive programme. If you choose not to take part in any included activity, session, treatment, or meal during your stay, for any reason, no refund, partial refund, or credit will be given for that inclusion.

  • One complimentary date change is permitted per booking, provided the request is received more than 45 days before your original retreat start date and the new date is within 12 months of the original booking, subject to availability. Any further changes are treated as a cancellation and rebooking under these Terms.

  • We strongly recommend guests take out comprehensive travel insurance that covers trip cancellation, curtailment, and medical circumstances, from the time of booking.

3. Changes or Cancellation - By Sanctum 7

  • Sanctum 7 operates on an exclusive-use, fixed-departure basis. Minimum room numbers required for a retreat to proceed are set out in Section 4.

  • In the rare event we must cancel or materially change a confirmed retreat (for example, due to property unavailability, regulatory requirements, or circumstances beyond our control), you will be offered, at your choice, a full refund of all monies paid or a transfer to an alternative date within 12 months.

  • Sanctum 7 is not liable for any incidental costs (such as flights or connecting accommodation) incurred by you in connection with a retreat we cancel or reschedule, except as set out in Section 4 (Minimum Numbers).

4. Minimum Numbers

  • Sanctum 7 requires a minimum of three (3) rooms booked for a retreat date to proceed.

  • Where this minimum is not met, we will notify affected guests no later than 45 days before the retreat start date and offer, at no charge, a transfer to an alternative retreat date within 12 months, subject to availability.

  • Sanctum 7 will also reimburse reasonable, documented economy-fare flight change fees incurred as a direct result of the date change, up to $500 NZD per guest.

  • If no suitable alternative date is available within 12 months, guests will receive a full refund of all monies paid.

5. Named Experts & Practitioner Substitution

  • Sanctum 7 works with a roster of named experts, including our resident chef, naturopaths, medical herbalists, and breathwork facilitators, whose profiles may appear in our marketing.

  • Sanctum 7 menus are designed by Aaron Brunet. Where Aaron or any other named expert, practitioner, or chef featured in our marketing is unable to attend a retreat in person due to illness, bereavement, or other circumstances beyond our control, we will provide a suitable alternative practitioner of comparable standard and experience, or in the case of menus, prepare Aaron Brunet-designed menus (or a comparable menu of equivalent standard) via an alternative chef.

  • This does not entitle guests to a refund, partial refund, or credit.

6. Health, Medical Conditions & Suitability

  • Sanctum 7 is a restorative wellness retreat and does not provide medical treatment, diagnosis, or emergency care. Functional testing, herbal consultations, and practitioner sessions offered during your stay are complementary wellness services, not a substitute for medical advice.

  • You must disclose any pre-existing medical conditions, allergies, injuries, medications, dietary requirements, or mental health considerations relevant to your safe participation, via the pre-arrival questionnaire or consultation.

  • Some activities (including sauna, cold-water immersion, breathwork, and physical movement sessions) carry inherent risks and are not suitable for everyone. It is your responsibility to seek your own doctor's advice before attending if you have any underlying health condition, are pregnant, or are otherwise uncertain about your fitness to participate.

  • Functional testing (such as microbiome mapping, DUTCH testing, or HTMA) is entirely optional and offered as an add-on, not a standard inclusion, and results are for general wellness insight only, not diagnosis.

  • We reserve the right to modify, limit, or decline your participation in any activity, session, or the retreat as a whole, where we reasonably believe this is necessary for your safety or the safety or comfort of other guests.

7. Third-Party Add-On Services (including IV Drip Therapy)

  • Certain add-on services offered during your stay, including IV vitamin drip therapy, are provided by independent third-party specialists and not by Sanctum 7 or its staff. IV drip therapy is currently provided by IvyRevive (ivyrevive.co.nz), a mobile IV therapy service administered by registered nurses under medical supervision.

  • Third-party add-ons must be pre-booked in advance of your retreat. Where a third-party provider requires its own booking form, consent form, or health screening, you must complete this directly with them ahead of your session.

  • Some third-party providers require guests to complete their own disclaimer, consent form, or waiver directly with them before their service can proceed, in addition to and separate from these Terms. It is your responsibility to complete any such documentation within the timeframe that provider requires.

  • Third-party providers such as IvyRevive act as independent contractors. They are responsible for their own service delivery, health assessments, and any adverse outcomes arising from that service, in accordance with their own terms and conditions and professional obligations. Sanctum 7's role is limited to facilitating access to the service on-site and does not extend to supervising or being responsible for its clinical delivery.

  • You must disclose to the third-party provider directly any medical conditions, medications, allergies, or pregnancy status relevant to that service, in addition to the general disclosures made to Sanctum 7 under Section 6.

  • Optional extras, including functional testing and other add-on services, are priced separately from the retreat package and must be pre-booked. Once booked and paid for, no refund, partial refund, or credit will be given if you choose not to undertake a pre-booked optional extra, except where cancelled in accordance with any specific cancellation terms of that provider.

  • Fees for third-party add-ons are additional to the retreat cost and are payable in accordance with that provider's own terms, unless otherwise agreed at the time of booking.

8. Alcohol-Free Retreat

  • Sanctum 7 is an alcohol-free retreat. No alcohol is served on the property, and guests are asked not to bring their own alcohol for consumption during their stay.

  • This policy is part of Sanctum 7's approach to restorative wellness and applies for the full duration of your retreat.

9. Guest Conduct

  • Sanctum 7 is a shared, intimate environment. We ask all guests to be respectful of staff, practitioners, and fellow guests at all times.

  • For your safety, guests must follow the reasonable instructions of Sanctum 7 staff and practitioners during any activity, including breathwork, contrast therapy, and movement sessions. We may pause or end your participation in an activity where we believe this is necessary for your safety or wellbeing.

  • We reserve the right, at our sole discretion, to ask a guest to leave the retreat without refund if their behaviour is abusive, unsafe, or seriously disruptive to staff or other guests.

  • Smoking and vaping are not permitted anywhere on the property, indoors or outdoors.

  • The property is maintained as a quiet, stress-free environment. While not a strict rule, we ask that guests keep laptops, phone calls, and texting to their own room. If you'd like to use your phone as a camera around the property, we simply ask that it stays on airplane mode.

  • We encourage you to raise any concerns with us during your stay so we can address them in real time. Any complaint not resolved on-site must be made to us in writing within 30 days of your retreat's end date.

10. Media & Press Guests

  • From time to time, Sanctum 7 may host media, press, or content creators on dates separate from paying guest retreats. Should Sanctum 7 elect to include a guest attending in this capacity during a paying guest's retreat dates, this will be disclosed to affected guests no later than one month (30 days) before their retreat start date.

  • Guests attending as media, press, or content creators under a complimentary, discounted, or hosted arrangement are subject to a separate written hosting agreement in addition to these Terms. Where there is any conflict, the hosting agreement takes precedence in relation to matters it specifically addresses.

11. Liability & Assumption of Risk

  • To the maximum extent permitted by law, Sanctum 7 excludes liability for any loss, injury, illness, or damage arising from your participation in retreat activities, except where that liability cannot be excluded under the Consumer Guarantees Act 1993, the Fair Trading Act 1986, or other applicable New Zealand law.

  • Nothing in these Terms restricts your rights and remedies available under the Consumer Guarantees Act 1993, the Fair Trading Act 1986, or any other applicable New Zealand law.

  • Nothing in these Terms limits liability that cannot be excluded by law, including for services not provided with reasonable care and skill.

  • If you are injured while in New Zealand, the Accident Compensation Corporation (ACC) may assist with treatment and rehabilitation costs, and generally replaces your right to sue for personal injury. ACC does not cover illness, trip disruption, or the cost of returning home, which is why we recommend comprehensive travel insurance in addition to ACC cover.

  • You are responsible for your own personal belongings during your stay. Sanctum 7 is not liable for loss or damage to personal property except where caused by our negligence.

  • Guests booking on behalf of another person (for example, as a gift) confirm they have authority to accept these Terms on that guest's behalf, and that the guest will separately complete the health and pre-arrival questionnaire before arrival.

12. Property, Damage & Heritage Building

  • Earnscleugh Castle is a Category 1 heritage property. Guests agree to treat the buildings, grounds, and furnishings with appropriate care.

  • You will be liable for the cost of repair or replacement of any property damaged, destroyed, or removed as a result of your actions or negligence during your stay.

  • Sanctum 7 reserves the right to charge any such costs to the payment method held on file, following notice to you.

  • Earnscleugh Castle is located on a rural property surrounded by working orchards, vineyards, and farmland. Guests acknowledge that agricultural, horticultural, and viticultural activity in the surrounding area, including noise and machinery associated with harvest and other seasonal operations, is outside Sanctum 7's control and does not constitute a defect in your retreat experience. No refund or partial refund will be given in relation to such activity.

13. Photography, Filming & Image Use

  • Sanctum 7 may undertake photography or filming on-site from time to time for brand and marketing purposes. We will let guests know in advance when this is planned during their stay and will not use identifiable images of guests without their consent.

  • If you would prefer not to be photographed or filmed during your stay, please let us know on arrival.

  • Sanctum 7 may also use feedback you provide via surveys, guestbooks, or direct correspondence in our marketing materials, including on our website and social media. Where we do so, we will not attribute identifying details without your consent.

14. Privacy

  • Personal information you provide (including health information collected via the pre-arrival questionnaire) is collected and held in accordance with the Privacy Act 2020, and is used only to plan and deliver your retreat experience.

  • Health information is shared only with the practitioners directly involved in your care during your stay, and is not retained for longer than reasonably necessary.

  • For full details on what we collect, how it's used, and your rights, please refer to our Privacy Policy, available on our website.

15. Force Majeure

Neither party is liable for delay or failure to perform any obligation under these Terms where that delay or failure results from circumstances beyond reasonable control, including natural disaster, extreme weather, pandemic, civil unrest, or government action. Where such an event prevents a retreat from proceeding, Section 3 (Changes or Cancellation - By Sanctum 7) applies.

16. General

  • These Terms are governed by the laws of New Zealand, and any dispute is subject to the exclusive jurisdiction of the New Zealand courts.

  • If any provision of these Terms is found unenforceable, the remaining provisions continue in full force.

  • These Terms, together with your booking confirmation, form the entire agreement between you and Sanctum 7 in relation to your retreat booking.

  • We may update these Terms from time to time. The version in force at the time of your booking will apply to that booking. The most current version of these Terms is available at all times on our website, and will be provided on request.
